A machinery collection brief connects the equipment offer with the transport arrangement. The transport provider needs the actual configuration that will travel and reliable information about both ends of the journey. Prepare the brief after the supplied items have been identified.
Confirm the equipment information
List the tractor, implements and loose items with the relevant references. Request confirmed transport dimensions and weights from the responsible supplier. Catalogue dimensions for one machine should not be substituted for the final combined or packed arrangement.
State whether any preparation or technical work is required before collection and who is responsible for it. Keep uncertain matters visible until they are resolved.
Describe both sites
- Exact pickup and delivery locations shared with the authorised provider.
- Responsible contacts and agreed communication arrangements.
- Measured access restrictions and approach information.
- Loading and unloading arrangements requiring qualified assessment.
- The item and condition record to be completed at handover.
Do not prescribe a transport or unloading method from photographs alone. The responsible provider should assess the equipment and sites using the applicable requirements.
Reconcile before movement
Check that the collection list matches the final sale or supply record. Identify separately packed accessories and record their allocation. Ask for any revised transport scope to be confirmed in writing.
For example, an implement added after the first transport enquiry can change the information the provider needs even when the tractor is unchanged.
